The task
- Bring club catalogs, pricing, rosters, mandatory kits and deadlines into a single system;
- Give club staff control over team sales without exposing Shopify admin;
- Give every player a personal store with their assigned kit, name and number.
Results
The Team Portal now runs team sales for soccer clubs across the country, over several storefronts, at high volume during peak months. Club staff manage the complex setup behind the scenes, while players and parents get a streamlined Shopify buying experience.

About the business
Soccer Post is the largest US soccer specialty retail chain. It partners with youth soccer clubs, sources kits from leading brands, adds crests, names and numbers, and delivers uniforms before each season.
Our scope covers discovery, solution architecture, custom app development and ongoing product work.
Discovery first: turning a broad wish list into a product blueprint
Before writing code, our architect and analyst mapped the technology approach, admin functionality by role, storefront behavior by access level, known limitations, estimates and delivery stages. That concept document became the contract-level foundation for the build.
Design principle
The system flexes around each club’s operating process, not the other way around.
The Team Portal
One admin connected to every part of team sales: clubs, players, commerce and day-to-day operations.
Club operations behind the scenes. A personal store in front.
The portal gives club staff control without exposing Shopify admin, while every player sees only the products and rules assigned to them.
Club staff
Dedicated portal login, CSV and manual roster import, seasons and deadlines, and duplicate jersey number checks.
Players and parents
Assigned kit, applied name and number, specialization-based products, returning-player logic, mandatory items and admin overrides.
Custom commerce logic, built around personalized uniforms
Shopify remains the storefront and checkout foundation, while the app defines the club-specific rules that standard ecommerce does not cover.
Pricing and checkout
Per-club pricing, bundles, rebates, discounts, cart validation, shipping, handling fees, routing and fulfillment windows. Complex carts may contain 4 to 30 items.
Embellishment
Product-level crest, name and number placement, layered previews configured in admin, and post-purchase editing for customized orders.
Operational control across tools, stores and teams
The system keeps everyday work accountable and connects the Team Portal to the wider commerce stack without losing club-level flexibility.
Full audit trail
Stock movements, product and preview edits, file uploads, users and role changes are recorded so staff can see who changed what and when.
Integrations and storefronts
Klaviyo for marketing automation and Gorgias for customer support. A partner API is available to approved integration partners. The customer experience supports multiple languages and currencies, and the same platform powers the main store and additional client-approved turnkey storefronts.
Flexible access
When a club needs to sell before a roster exists, buyers can still receive secure access to the correct assortment, with no account required.
Architecture evolution
The first production version used Shopify’s native B2B model because it was the fastest route to market. As the program grew, youth sports required stronger customer separation, payment control and pricing flexibility than a traditional wholesale structure could provide.
Shopify native B2B, the first production model
Clubs mapped to companies and locations. Fast to launch, but not designed for parents purchasing independently within the same club.
Standard customer accounts plus a custom access layer, the current model
Retains role-based access and the existing teamwear logic, while enabling clearer customer separation, more flexible payment controls and per-club pricing.
A real-world stress test
During the 2026 World Cup summer, when soccer demand and portal traffic increased across North America, the platform absorbed the peak-season increase without disruption, including clubs with very large registered rosters.
Summary
Soccer Post now has one operational view for team sales. The Team Portal handles club setup, rosters, pricing rules, personalization and fulfillment, and connects it to a Shopify storefront that parents and players can actually use.
We now have a single pane of glass view into our team operations.
We are much more operationally efficient.
